Tools That Power Great Conferences

Written by: Michael Lee | Consumer Research, Brighton Savoy

Holding a conference, whether it be for ten people or your entire office, should be a point of pride for you. It is a time to discuss new ideas, new products, get feedback, and everything in between. Therefore, you need the best equipment to ensure your conferences go off without a hitch.

Wireless Presentation Solutions

Firstly, in this day and age, you need wireless presentation solutions if you are going to hold an efficient conference. Whether it be screen mirroring, Bluetooth-controlled digital cameras for video, or desktop sharing, the ease and speed of wireless solutions can’t be overstated.

Simply put, it is just quicker for a colleague to connect to the presentation screen to show something on their laptop instead of wasting time finding the right cable, plugging in, etc.

Video Conferencing Equipment

When it comes to video conferencing equipment, you want to choose the best, especially if this is the route that is most common for you. Firstly, you want a high-definition camera, especially if you are going to be working on a board that needs to be seen by those on the video call.

You also want a good microphone, especially in larger conference rooms, as your voice can echo and become distorted over video. On top of that, you also want speakers to ensure you can clearly hear what those on the call are saying. Finally, a separate monitor that shows those on the call should be close to you so you can see anything they may want to share with you.

Interactive Whiteboards

An interactive whiteboard is a very useful piece of tech when it comes to conferencing. In simple terms, this is an interactive display similar to those you would see pundits use during halftime of a rugby or football game.

You can move images and data with a touch of your finger, add data, play slideshows, etc. This is substainly quicker than writing, playing slideshows, or plugging laptops in and out as you change presentations and discussion points.

Microphones

A microphone is a small but important piece of tech for conferencing. Whether you are in a small or large room, speaking to a few people or a large group, a microphone is necessary to ensure you are heard loud and clear.

They become more important if you have collaborative conferences, as voices can easily be drowned out, and if there is someone who is hard of hearing they can end up missing out on potentially crucial information.

Lighting & Climate Control

Don’t overlook the tertiary equipment you may need for an effective conference. Proper lighting is a must, especially when doing presentations, as you can easily install an amazing interactive board that receives too much glare because of your lighting.

You also need to think about the temperature of the space. Conferences can sometimes take several hours, and the last thing you want is for it to be too hot or too cold. Therefore, you need the right climate control features such as heating and air conditioning.

Ergonomic Furniture

Finally, ergonomic furniture is not only a must for your office, but for your conference room, too. As mentioned, these conferences can go on for a few hours, and the last thing you want is for you and your guests to be uncomfortable.

Invest in high-quality ergonomic office chairs, and choose a table shape that is conducive to comfort. This will ensure everyone remains comfortable, and therefore, they remain engaged.

What to Remember

Now that you know a few of the most important pieces of equipment, here are some tips for hosting a conference if you have never done one before.

Be Prepared

The first is fairly obvious, but still important. Remember to be prepared; this means having all your images, documents, slideshows, etc, ready to go from the first minute. Arrive a few minutes early to turn everything you need on, have your laptop open at the right slide, make sure the microphone and speakers are working, etc.

Speak Clearly

Next, if you are speaking to a large group or you are doing a video conference, remember to speak clearly and slowly. This is particularly important for video calls, as lag, bad signal, interference, etc, can also hamper the sound quality.

Use Images & Graphs When Possible

Always use images and graphs if and when you can. They are a much easier way to display information, and are exceptionally useful if you are speaking to people who don’t speak your home language. They are also often much easier to see if you are viewing them through video.

Ask for Questions & Feedback

Finally, always stop to allow attendees to ask questions and to get feedback. If you are speaking about something niche or new, the information may be very new to some attendees. Therefore, don’t keep talking and moving along without giving people time to clarify information, ask questions, etc.

In conclusion, the list of equipment you need for a great conference isn’t very long, but they are all essential pieces that separate a forgetful conference from an amazing one. Therefore, investing in them will never be a bad idea or a waste of money.
